How we collect, use, and protect your data

Last updated: October 8, 2026

1. Information We Collect

TaxSlate, Inc. collects the following categories of information:

  • Account information: Staff names, email addresses, firm name, role, and subscription status.
  • Client records: Client names, entity types, preparer assignments, and notes you choose to save. These persist until you manually delete them.
  • Tool inputs and outputs: Financial figures, entity details, generated analyses, and reports you enter or produce using the tools.
  • Uploaded files: Tax returns, workpapers, bank statements, pricing sheets, and other documents you upload for processing.
  • Document-request submissions: Files and answers a client provides in response to a document request you initiate.
  • Usage data: Tool interactions, timestamps, and aggregate usage metrics used to operate and improve the Service.

Taxpayer and client data you upload may include sensitive personal and financial information (Social Security numbers, income figures, tax return data). You are responsible for ensuring you have proper authorization and any consents required under IRS Section 7216 or other applicable law before uploading this data.

2. How We Use Your Information

  • To provide, operate, and maintain the TaxSlate, Inc. tools and generate reports and analyses.
  • To process tax return uploads and extract data for primers and workpaper sorting.
  • To research market salary data for reasonable compensation reports.
  • To communicate with you about your account, subscription, and the Service.
  • To monitor usage, prevent abuse, and improve the platform's tools and accuracy.
  • To comply with legal obligations and respond to lawful requests.

3. Data Retention and Deletion

Retention varies by data category. You control when saved data is deleted; TaxSlate, Inc. does not delete saved client data unless you request it or your account is terminated.

  • Client records persist until you delete them. Creating a client record stores it. TaxSlate, Inc. does not automatically remove client records; they remain in your firm's account until you manually delete them.
  • Draft tool data is deleted after 7 days: Unsaved draft reports, unsorted workpaper batches, incomplete tax return primers, and draft analyses are automatically deleted approximately seven (7) days after creation.
  • Document-request submissions are purged after 30 days: Files and answers a client uploads in response to a document request are cleared approximately thirty (30) days after receipt. The request itself is retained; only the received content is removed.
  • Finalized records follow your retention setting: Completed and finalized analyses are retained according to your firm's configured retention period (default seven years) and then automatically deleted.
  • You can delete saved records at any time: Data is not stored only when you mark it saved; some information is stored as part of using a tool or creating a client record. You can delete saved records through the tools at any time.
  • Account deletion: When your account is terminated, your data is deleted in accordance with this policy. Deletion of copies held by service providers or in backups may take additional time.
  • You are responsible for maintaining your own permanent records in compliance with IRS recordkeeping requirements and applicable law. TaxSlate, Inc. is not a permanent archival system.

4. Data Security

  • Data is isolated per firm using row-level security (RLS). Users can only access data belonging to their own firm.
  • Uploaded files are stored in private storage with signed access URLs. Files are not publicly accessible.
  • We use industry-standard encryption for data in transit (TLS) and at rest.
  • Access to the Service requires authentication. Account credentials should be kept secure.
  • No system is 100% secure. While we implement reasonable safeguards, we cannot guarantee absolute security.

5. Information Sharing & Disclosure

We do not sell, rent, or trade your data, and we do not use your client data to train AI models. We may share information in the following circumstances:

  • Service providers: We use third-party services (cloud infrastructure, payment processing, email delivery, and AI providers for specific features) to operate the Service. These providers process only the data necessary to perform their functions. The specific contractual and data-handling terms of each provider should be verified by your firm where compliance depends on them.
  • Legal compliance: We may disclose data when required by law, court order, or government regulation, or to protect the rights, property, or safety of TaxSlate, Inc., its users, or others.
  • Business transfers: In the event of a merger, acquisition, or asset sale, data may be transferred subject to the protections in this policy.

6. AI & Third-Party Data Processing

Only specific features send data for AI processing, including return summarization, workpaper classification, reasonable compensation research, and tax description parsing. Not every tool or action in the Service uses AI. When you use a feature that involves AI, the data you submit is sent to an AI provider to produce the output.

Do not submit data you are not authorized to share with these services. Depending on the data involved and the provider's location, using an AI feature may require taxpayer consent under IRS Section 7216 or other applicable law. You are responsible for determining whether consent is required and obtaining it before using AI features with client data. The specific providers, their locations, and their data-use terms should be verified before relying on them for compliance. See our Data Processing Addendum for more detail.

9. Children's Privacy

The Service is intended for use by accounting professionals and firms. It is not directed to children under 18, and we do not knowingly collect data from minors.
